To address regulatory compliance and
e-mail retention requirements, e-mail archive applications
will copy
incoming and outgoing messages and their attachments
to an archive server, while performing message indexing
during the copy process.
Message indexing is the process
of creating a searchable index, based on the metadata
of the message such as
To, From, Subject, and the Date/Time Stamp. In addition
to the metadata of the message, text in the body of
the message, as well as the attachment, are indexed
for the purpose of performing “text searches” within
the archive.
Once messages and attachments are indexed
and archived, auditors and compliance officers can
perform a number
of searches across the entire e-mail archive. These
searches can include messages sent between two parties,
messages sent within a certain date range, messages
and attachments that contain certain words or phrases,
or any combination of these search criteria.
In addition to the requirements for search and discovery
of the e-mail archive, most regulatory agencies
now require e-mail messages and attachments to be
stored
on a non-erasable, non-rewriteable media type.
To
satisfy these strict storage requirements, many
organizations are implementing UDO
Optical Libraries to serve as a
secure, reliable, storage repository that cannot
be altered or erased in any manner, either accidentally
or intentionally.
